Evaluate the response
An improved process does not always need AI.
- Process simplification
- Can unnecessary steps, duplicated activities or handoffs be removed, or approvals clarified? A better process may require no new software.
- Conventional automation
- Are rules stable and inputs structured enough for predictable execution? Exceptions and approval requirements still need to be addressed.
- AI-assisted work
- Would extraction, retrieval, classification, summarization or drafting help people perform part of the workflow? Output quality and human-review needs must be considered.
- Controlled agent workflow
- Do multiple information-gathering or system actions justify an agent? Access, action boundaries, human authorization and evaluation requirements need to be defined. Agents are one possible mechanism, not the default.
- Defer automation
- Are ownership, data, rules or requirements too unclear to proceed? Fixing these prerequisites may be the appropriate first recommendation.
Options are evaluated against the workflow. The mechanism and implementation scope are agreed before proceeding.

Outputs and their level of detail depend on the agreed engagement. They are not a fixed package or mandatory in every engagement.
Pilot with accountability
Design the future state and its approval boundaries.
A proposed workflow can be tested in a bounded pilot before wider implementation where appropriate. The pilot should identify process ownership, output reviewers, important approvals, exception routes and escalation responsibilities.
Permissions, records of actions and fallback steps can be considered as part of the design. Human authorization remains mandatory at the agreed approval points; AI assistance does not replace responsibility for the decision.
Measure the process
Check whether the real constraint has improved.
Pilot evaluation may compare handling time, cycle time, quality, rework, review effort, operating cost and error or exception rates with a current-state baseline. Measures should reflect the workflow’s business objective.
A faster intermediate task can leave the main bottleneck unchanged. Implementation effort, human checking and maintenance should be included in the evaluation before deciding whether to revise, stop or extend the approach.
Agree the delivery scope
Separate improvement advice from implementation responsibilities.
IntelliArtAI can support process improvement advice, a scoped pilot and implementation within an agreed engagement. Broader integration or specialist work may involve your internal team or specialist partners agreed for the engagement.
Responsibility for build, integration, testing, handover and any further support is defined by scope. A workflow review does not automatically include operating or maintaining every system involved.
